Productivity Tip: Write all the details into your calendar

I am a big believer in productivity. One of the best books I have ever read is by Todd Duncan, Time Traps. In Time Traps, Todd encourages you to streamline your workflow and outline what is most important to you. I read Todd’s book in early 2006 and this book has stuck with me since and helped streamline my workflow. I highly recommend you get this book if you do not have it. The effective use of your calendar is a critical function to effective time management.

FRUSTRATION: When the appointment comes around I am found searching for information such as suite number or a specific piece of information that is somewhere in my email folder  paper_calendar

SOLUTION: These days I have learnt that as soon as I schedule an appointment I open up my calendar (I use Google calendar that is synced to all my devices) and put in ALL the information that is needed for this appointment. I specifically put in the address and suite number if needed and other action items that are required. At that point I move over to Evernote and place the action items in the desire note.

This is a disciple, it takes time to develop but the results are huge!

The lowered frustration, digging through various emails on your multitude of devices and the sense of urgency trying to find the suite number when you walk into a large office building should all be taken care of PRIOR to the appointment.

Learn this lesson to thrive or don’t and let it sink you

Proverbs 18:8 – “The words of gossip are like choice morsels; they go down to a man’s inmost parts.”

This year marks 16 years of being in ministry and I can honestly say that gossip is one of those small foxes that destroy the vineyard.

I have had the privilege of living in nearly every Southern African country, traveled extensively in the US and been a part of some amazing churches……… with that being said I have also seen how gossip has ripped through people’s lives and torn apart relationships. The sad aspect of this is that I don’t see it getting better and it is not something that is talked about much.

Recently, Christ Life Church hosted the Dave Ramsey, Momentum workshop. Chris LoCurto taught a session on the fundamental values of the Dave Ramsey organization – one of the values is a tenacious drive to squash all gossip I WISH the church in general could get its head around this ….. or rather …. if we are Biblical here …. it’s body [You might get that later].

I love that TENACIOUS DRIVE TO SQUASH ALL GOSSIP. [UPDATE: Just read on Chris blog that he just posted on gossip]

GET THIS – the scripture in Proverbs 18:8 tells us that gossip is like a tender morsel …. fine steak, chocolate covered strawberry or add you line here ___________. Get the point …… IF YOU LISTEN TO GOSSIP …. it will take ROOT in your life. Once gossip gets a ROOT it is very difficult to get it out. In fact, often times doubt, negativity, suspicion and more sets in. Here is the sad part ……. the probability is high that when you ‘heard’ or ‘took’ in the gossip you never took the time to actually clarify that the gossip was either true or not.

ACTION POINTS: 

  • If someone starts to gossip – just leave. This takes some discipline as we tend to enjoy the gossip
  • If the gossip has to do with someone in authority …. be extra careful to stay away from this person as there could be a deeper issue here.
  • Avoid the ‘holy prayer gossip’ like to plague ….. Oh Lord, we pray for sister so and so …. you know she is in a terrible ________ add gossip here.
  • I am a big believer in ‘time’. Time will truly tell the intentions of the person ….. if the gossip was just ignorance or if this person truly has a deeper issue.
  • Consider gossip talking negative about someone and they are not right in front of you.
  • If you feel you have a tendency to lean towards gossip  - get an accountability partner and have them pray for you. Also ask the question of why you feel you need to talk down about people. You might find you have some unresolved issue’s from the past.

Over the last year I have become very passionate about helping people best this issue of gossip and in fact a cancer that is tearing down churches and organizations. Lets agree together as the scripture says, Ephesians 4:29 Do not let any unwholesome talk come out of your mouths, but only what is helpful for building others up according to their needs, that it may benefit those who listen. …….if you keep on reading the next verse talks about grieving the Holy Spirit …… maybe the conclusion would be that our negative talk not only hurts people but also grieves the Holy Spirit or maybe a better word would be ‘saddens’ the Holy Spirit.

Stress is a part of everyday life. Without it we would never get off the couch, never worry about our work efforts, what our kids are up to, never put out the fire or avoid the car that veers into our lane!

The degree of stress that we encounter on a constant basis in modern society, however, has reached epidemic proportions.

“Stress is nothing more than a socially acceptable form of mental illness.” ~Richard Carlson

I love the quote above, because we often do fall into the trap of stressing out and just generally driving ourselves crazy.

But it’s important to remember that stress triggers the “fight-or-flight” response. The surge of adrenaline and the slowing down of other basic functions provides us with the instant energy we need to run from a predator or battle an attacker.

This survival response comes with side effects though. Over time, that extra energy and alertness comes with altered hormone levels, heightened blood sugar, depleted nutrients and lowered neurotransmitters.

Over time, our bodies adapt to invoke that same response with smaller and smaller triggers.

“Fight or flight” is the normal operating mode for many of us, rather than the true emergency survival mechanism it was meant to be. We rarely work off that energy, take restorative actions or release ourselves from that state of mind.

Chronic stress affects every bodily system. It suppresses the immune system, slows metabolism and cell regeneration, makes airways reactive and creates muscle tension. It is estimated that 90% of doctor visits can be traced back to stress.

Stress can be linked to weight gain, heart disease and depression. It increases the risk ofdiabetes, hypertension, arthritis and osteoporosis.

Stress impairs cognitive function over time, reducing creativity, memory and problem-solving skills.

Headaches, sexual dysfunction, irritability, problems sleeping and addictive behaviors are often stress-related.

The degree of stress we experience on a daily basis might be a cultural norm but personal priorities, personal choices and our purposeful reactions to stress can limit the negative health effects of stress.

Pick a few of these suggestions below to reduce stress in your life and promote health and healing in your body.

  1. Spiritual Triathlon. This is my personal method for keeping my focus throughout the day. Every morning when I wake up I spend 5 minutes saying all that I am grateful for, 5 minutes in prayer and 5 minutes reading my Bible or something inspirational.
  2. Schedule relaxation. Write it down in your planner and stick to it. Make time at least once a week to do something you love–something that refreshes you. Maybe that’s a game of tennis, spending an hour alone with a good book or taking a yoga class.
  3. Pour yourself a cup. Many varieties of hot tea have calming effects on the body and can help lower blood pressure. Try green or black tea or herbal teas with chamomile.
  4. Take a deep breath. Try deep breathing for a few minutes every day. Tighten and release muscles. Hum to release nitric oxide and improve blood pressure.
  5. Just say “No.” I promise it’s ok! Don’t spread yourself too thin or you won’t be able to give 100% of your efforts to any of the tasks you attempt. Your value does not depend upon how much you do for others at the expense of your own time, relationships and health.
  6. Expel excess adrenaline. Before, during and after stressful situations, walk briskly for 5 minutes, run up a flight of stairs, do backward pushups on your chair, or do 5 minutes of deep breathing. A short burst of physical activity can expel anxiety and give you clarity and calm.
  7. Ask yourself why. The next time you’re racing around trying to accomplish too many things in too short a time, ask yourself why you’re doing it, who it really serves, what belief its based on, whether this feeling is really what you want, whether this is a value or principle you want to base your life on. “Worry does not empty tomorrow of its sorrow; it empties today of its strength.” ~Corrie Ten Boom
  8. Nix the caffeine, nicotine and alcohol. Don’t add to nervous energy with stimulants and don’t mask stress with alcohol. The long-term effects compound the negative effects of stress.

I try to read the Book of Proverbs every day as it seems regardless of the day and the situations that I encounter, I will find that the book of Proverbs that I just read that day will bring out some incredible leaderships tips.

  • Ask ourselves – is the forthcoming discussion really worth it
  • Is this an issue of us wanting to be right for the sake of being right
  • Is it the right time. For example Danielle and I have a rule that we don’t get into deep discussions super early in the morning or after 10pm at night. This right here might be the best leadership tip #1 you just received.
  • With the issue at hand …. will the person be open to this or not? Tony Morgan recently reviewed Henry Cloud book, Necessary Endings on his blog and noted that Cloud says; “You cannot fix people who will not take feedback, because from their perspective, they do not have a problem.”
This obviously is a short post compared to what we could discuss on this topic – that is what we could use the comment section for and I would love to hear your thoughts on this topic.
